Business Dashboards Case Study
Small trade business with one shareholder employee doing the majority of the work with some help from subcontractors. He fitted into the category of being self employed and working to capacity, and wanting to increase his income and profit.
I started working with them in October 2019 and have identified areas of their business that need refinement, above is a report from November 2019 outlying their trading for the month and where we can make positive changes to the way their business is running.
Commentary Boxes
General Commentary
They have made a loss for the month of November 2019; this is a big drop on the previous month trading and a small drop from the November 2018 figures. This was due to a few reasons, the chief one being that they get invoiced for their October materials in November.
Future Outlook
In this example the focus is upon their reliance on 2-3 key clients and 1 client in particular, and the possible ramifications to their business if these businesses were to slow down.
Ratios and KPIs
- Net Profit Margin and Gross Profit Margin were both negative so there was a loss for the Month.
- Net Profit YTD compared to Net Profit LY – significant drop in this year compared to last year.
- Average debtor and Creditor days are both around 30 which is very good.

The key focus of this business is on profitability and cash collection. The graphs used have focused on Sales, Purchases Net Profit, client breakdown and cash flows/position.
The suggestions as part of the dashboard are to
- Setting up a budget, for a month by month comparison, this is being implemented from April 2020 onwards
- Update Xero for the different charge out rates for each Job.
- Next minute job tracking and costing software, this has streamlined the invoicing and quoting process, saving administration time, and allowing us to track the profitability of each Job.
- Supplier invoices to be assigned to each Job, allowing us to track the specific costs, surplus materials to be returned to the supplier.
- Use of Hubdoc an app provided by Xero which takes your bills and automatically imports them into Xero and creates bills in Xero, saving significant administration time.
